Exam Registration & Payment Procedures

ENTRY FORMS:

i)  All entries must be made on an official Trinity entry form (for all Music and Drama & Speech exams).  All entry forms are available from the local Trinity representative.

ii)  Separate entry forms are required for:

----  solo, group, duo and for diploma examinations

----  candidates going to different venues (please indicate the venue name on the form)

----  practical exam

----  written exam

HOW TO REGISTER:

i)  Registration Regulation for Students Age 18 and Under:

Due to the large amount of time, expenses and confusion between teachers, students and representative when parents register their child(ren) themselves, effective immediately, all students age 18 and under must be registered by the TEACHER.  Some exceptions may apply but please contact the local representative for exceptions.

ii)  Teachers may register up to twelve candidates on each form.  Please use extra forms if you have more than twelve and staple them together.  Please do not enter one candidate per form unless you only have one candidate to register.  The Applicant’s (Teacher) Contact Details on the front page of the form should be the teacher’s contact information and NOT the individual candidate’s contact information.

REGISTRATION PROCEDURES FOR TEACHERS:

a)   Please collect all fees from your students (parents/students pay the fees to you).

b)   Then write ONE check for the TOTAL AMOUNT made payable to ___________ (contact representative and ask to whom the check should be written).  Some centers accept electronic or credit card payments.  Again, please contact the representative about method of payment.

c)   Please complete the registration form clearly and provide complete information.  You can register up to 12 students on each form.  Use additional forms if you have more than 12 students.  Some highlights about the application form:

Section A:  Applicant's details - This is the contact information about the teacher.  Please include telephone numbers and email.  Most communications about your students' exams will be via emails.

Section B:  About the exam - You cannot choose specific dates and times for your students' exams.  Requests for morning or afternoon appointments will be observed where possible but cannot be guaranteed.  Requests for precise times cannot be accepted.  Please note that exam dates may occasionally need to be changed from those published.  There will be no refunds or deferment of fees.

Section C:  Name of teacher or school - Complete this section if you want your (teacher) name and/or school to be printed on your students' certificates.  School - this line is completed very often incorrectly by teachers.  School here indicates the music/drama school at which your student is studying, e.g., Lincoln School of Music.  This is not the college (school) from which the teacher graduates.  If the student studies privately with you then leave this line blank.

Section D:  Total fees and applicant’s signature – please make sure you complete AND sign this section.

Section E:  Candidates with special needs - Students with special needs must complete the Special Education Needs (SEN) form every time the student registers for an exam.  If this is the student's first time entry, a doctor's note must accompany the SEN form.  Please download the form from the website or request it from the representative.  The SEN form and, if appropriate, the doctor's note must be submitted together with the registration form.

Section F:  Candidates' details - Complete the details for each of your student here.  Subject code is found on the second page.  Please note Date of Birth is Day/Month/Year.  If you prefer to be clear, you may spell out the month.

d)  Please send the completed form and ONE check for the TOTAL AMOUNT to the local Trinity representative.  Completed entry forms must be accompanied by the correct entry fee and sent in advance of the closing date for application to the exam.  Forms sent via email separate from the payment in the mail cannot be accepted.  Both the completed entry form and payment must be sent TOGETHER.

e)  The person making the application (whether teacher or adult student) must sign and date the entry form, which constitutes an agreement to abide by Trinity’s regulations.

f)  Correspondence will only be conducted with this person.  Exam results will be mailed to this person in due course.  Trinity representatives are not allowed to give out the results by telephone or email. Please do not telephone or email the representatives for your results.

g)  A candidate who has entered for an examination in one session is not entitled to transfer the entry to another session.  There will be no refunds or deferment of fees.

h)  Diploma candidates must make sure that you have your pre-requisites (if applicable) and programs (if not using the repertoire from the diploma syllabus) approved long before the registration deadline - two to three months before the deadline.  Please refer to the approval regulations in the diploma syllabus about this.
